How to prepare files for print without the stress
Sending artwork to print can feel simple until the results come back wrong. Text gets cut off, images look blurry, or white edges appear where colour should have reached the edge. Most of the time, these issues come down to file setup. Knowing the basics of bleed, margins and resolution can save time, money and a lot of frustration.
Bleed: avoiding unwanted white borders
Bleed is the extra area that extends beyond the edge of the design. Printers trim the paper after printing, and that cut is never exact to the millimetre. Without bleed, even a tiny shift in trimming can leave thin white lines around the edges. Adding a standard 3mm bleed (sometimes more for large formats) ensures the colour or image runs right to the edge after trimming.
Safe margins: keeping important elements visible
Just as designs need bleed on the outside, they also need safe margins on the inside. Text, logos or key details should sit a few millimetres away from the trim line. This prevents them being cut off if the trimming shifts slightly. A safe margin also gives breathing space, making the design easier to read.
Resolution: sharp images that print well
Screens display images at 72 dpi, but print requires 300 dpi for clarity. Using low-resolution images might look fine on a laptop but will print pixelated and soft. Checking resolution before sending files avoids the disappointment of blurry photos or logos.
File formats: not all exports are equal
Word documents, PowerPoint slides or Canva exports often miss vital settings like bleed or high resolution. Printers usually prefer PDF files set up with the right colour mode (CMYK), resolution and bleed marks. This ensures the file prints as expected without guesswork.
